Is It Time to Migrate from InfoDocs? Here’s How to Decide

by | Apr 9, 2025 | Tax | 0 comments

InfoDocs secretarial software has played a valuable role in helping many firms navigate the early challenges of CIPC’s Beneficial Ownership submission requirements. As a small, entrepreneurial business, InfoDocs quickly became a preferred share register software choice, even ahead of more established players in the South African tax and secretarial software market like GreatSoft, ProfSoft, and AccFin. Credit where credit is due: their product met the market at the right time with the right focus.

However, as customer needs have grown, so too have Infodocs’ limitations. Based on consistent feedback from users, Konsise developed a more comprehensive Entity Management solution. One that allows both corporates and accounting firms to manage Companies, Trusts, and Individuals in a single, integrated platform.

Since the launch of Konsise’s Entity Management module in March 2025, the most common question we’ve received is:

“How do I migrate my data from InfoDocs?”

This article will walk you through the process, compare key differences, and explain why so many companies, accounting firms, tax practitioners, and secretarial businesses are moving to Konsise.

Konsise vs InfoDocs: Key Differences

Why do Infodocs.co.za customers want to move to Konsise? The reasons can be summarised as follows:

  1. Entity-driven approach: Where Infodocs.co.za is company-centric, Konsise Entity Management enables the stand-alone management of all three entity types (Companies, Trusts, and Individuals), and the relationship between those entities is the secret sauce.
  2. Tax, Secretarial and Beneficial Ownership: Konsise’s dominance of the tax management market means adding Secretarial and Beneficial Ownership functionality, which launches Konsise into a new category. Infodocs.co.za has no comparative tax capability.
  3. Beneficial Owner Calculations: Without the ability to manage the Company, the Trust and the Individual, it is impossible to correctly calculate a company’s beneficial ownership under CIPC’s compliance requirements. Customers of infodocs.co.za repeatedly told us they resorted to Excel-driven reporting because of the abovementioned shortcomings.

InfoDocs Pros and Cons

InfoDocs still has some advantages, particularly for smaller firms that want to do company searches on CIPC. If you manage a limited number of companies and need an affordable solution for basic record-keeping, InfoDocs might be a good fit. It’s straightforward, cost-effective, and serves its purpose well for simpler use cases. It’s also worth noting that a few features currently available in InfoDocs are only scheduled for release in Konsise during Q2 or Q3 of 2025.

How to migrate data from Infodocs.co.za?

It’s very simple. InfoDocs enables its customers (as all good software should) to export the data in their Infodocs.co.za account to an Excel-compliant template. This includes Companies, Officers, and Shareholders.

Konsise has built an importer specifically for the data exported from InfoDocs, which can be uploaded into Konsise’s Entity Management module.

Of course, migration is never perfect. One of the complications is that because InfoDocs does not have the breadth of features of Konsise, some manual work is still required to benefit from the full features, but the Konsise services team will take care of that for you.

Pricing Comparison: Konsise and InfoDocs

While we don’t have access to individual InfoDocs contracts, we are familiar with their pricing model and recent changes. In one recent example, an accounting firm found that their monthly InfoDocs fees were higher than the combined cost of Konsise’s Tax Management and Entity Management modules and offered the additional ability to manage all their clients in one place.

As with any software purchasing decision, it’s wise to compare quotes from multiple providers to ensure you’re getting the best value for your business needs.

What about migrating from other software platforms?

We have received requests to migrate from other software, too, but the fact that most of the requests come from InfoDocs customers suggests two things:

  1. InfoDocs did a good job getting their product to market
  2. Companies and Accounting Firms want to manage tax, secretarial and beneficial ownership in a single platform (which other software does to a greater extent than InfoDocs)

Whether you choose to stay with InfoDocs or migrate to Konsise, the fact is that Companies and Accounting firms now have a greater choice of software platforms to choose from, and competition is great for the buyers!

We wish you the best in choosing the right software for your organisation.
